Founder, Engineers For Pioneers

From a collection of ideas, Steadfast defined, planned and built the platform that sits at the heart of the business I head up - Engineers for Pioneers. The team listened from the word go and always found creative yet practical solutions. They have been and continue to be an incredibly responsive and supportive partner

Off-the-shelf tools get a lot of organisations started. Sooner or later, many find the tool is shaping the organisation instead of the other way round.

Our custom software development is built for that moment: community platforms, membership websites and internal systems, designed around how your members and your team actually work.

We've been doing this for over a decade, as a UK Laravel Premier Partner and a certified B Corp.

Software shaped around your organisation, not the other way round.

When custom software makes sense vs off-the-shelf

Off-the-shelf is often the right call early on. It's quick to set up, the costs are predictable, and you learn what your members really use before committing to anything bigger.

The trouble starts when the workarounds pile up: member data spread across tools that don't talk to each other, staff doing by hand what should happen on its own, and a member experience that waits on a vendor's roadmap.

At that point the real question is ownership: who controls the roadmap, the data and the experience your members have every time they log in. If you're still testing whether people will pay for what you offer, a hosted tool may serve you better for now.

Our own research backs this up. Time spent on administration was a top-three challenge for people running membership organisations, and growth was the biggest. Bespoke software development won't fix either on its own, but it removes the friction that makes both harder than they need to be.

Our process

Discovery is where a platform succeeds or fails, so we now spend far more time up front than we did ten years ago.

Getting the goals, the members and the data right before design starts saves far more than it costs. Our process runs in four stages, and each one ends with something your team has seen and agreed.

Four stages, from discovery to launch

01

01 - Discover

We run workshops with your team to understand your goals, your members and the problems you're trying to solve. We ask a lot of questions and challenge assumptions, including our own. You come out with a shared, agreed picture of what should be built and why.

02

02 - Architecture

We map the requirements, data, integrations and user journeys into a structured plan. This is where legacy systems get untangled and new ones get designed properly. You get a clear blueprint to guide design and development.

03

03 - Design

Our designers turn the plan into interfaces your members will find easy to use. We test ideas early so changes happen on screen, not in code. The result is a design your team has seen, shaped and signed off.

04

04 - Develop

Our developers build the platform, most often on Laravel, and connect it to the tools you already rely on. We work in the open, so you see progress as it happens. You launch with software built to last beyond our involvement.

Internal systems

We don't publish a price list for bespoke work, because a figure that fits one project would mislead the next. What we can do is tell you what moves the number.Budget for life after launch too. Our Care & Growth plans cover maintenance, audits and ongoing optimisation, so the platform keeps improving as you grow.

What drives cost

The number of user types (members, admins, moderators, partners), the integrations involved (CRM, payments, single sign-on) and any data migration from legacy systems. Design depth, content, and whether you're replacing something that already works all play a part.

What drives timelines

Integrations and migrations take the longest to get right. How quickly decisions get made on your side affects the schedule as much as anything we do.

Getting a realistic estimate

A clear brief is the fastest route to a realistic figure. From there, discovery turns a rough scope into a plan we can price with confidence.

"The team at Steadfast Collective have always been dedicated, approachable and fully committed to our project. I would not hesitate to recommend them to any organisation; they have been amazing!"

"It has been a pleasure working with Steadfast to develop a new website for Be One Percent. They have produced a space which tells the story of what we do in a straight-forward way, allows us the celebrate the impact of our work in the world’s poorest communities and means we can speak to both individual donors and potential business sponsors. Our small charity has been going for nearly ten years now, but with this new website and the potential, it brings it feels as though we are only just getting started!"

    "

Steadfast Collective are very smart developers, with access to excellent web design skills. They are able to solve complex business-critical issues and provide guidance through the whole process. This is what sets Steadfast apart from others.

Custom software development FAQs

Custom software development means designing and building software around your organisation's specific needs, instead of adapting your processes to a ready-made product. For communities and membership organisations, that usually means a platform that joins up member experience, payments and internal admin in one place.

Bespoke tends to make sense when workarounds are costing your team real time, member data is spread across disconnected tools, or a vendor's roadmap is holding back the experience you want to offer. If you're still validating your offer, off-the-shelf may be the better starting point.

It depends on the number of user types, the integrations involved, any data migration and the depth of design required. We don't publish a fixed price because it would mislead more projects than it helped. A clear brief and a discovery phase give you a realistic estimate.

Timelines depend on scope, integrations and how quickly decisions are made during the project. Integrations and migrations from legacy systems usually take the longest. We set out a plan once discovery is complete.

Most of our custom platforms are built on Laravel, and we're a UK Laravel Premier Partner. We also work with Statamic and Craft CMS for content, and Stripe Connect for payments and subscriptions.

Yes, connecting to the tools you already rely on is a big part of most projects. We map your existing systems during the architecture stage and plan integrations or migrations from there.

Software needs ongoing care. Through Care & Growth we offer maintenance plans, audits and ongoing optimisation, so the platform keeps improving as your organisation grows.
